Summer 2009 Housing Application Process

Residents of wish to remain in Prince in June, July or August must return the Summer Housing Application. On Monday, March 2, 2009 all eligible residents will be sent a link to this printable application. The Summer Housing application will also be available here and from the Housing Assignment Office, 235 Whitmore Administration Building after March 2, 2009.

We ask that residents let us know their summer plans by returning a completed application to the Housing Assignment Office, by no later than 5 p.m. Friday, May 15, 2009. Residents requesting different rooms for the summer will be notified as rooms are vacated, cleaned, and deemed ready for summer occupancy.

Please be advised that only residents who select a room in Prince for fall 2009 will be permitted to remain in Prince beyond Saturday, August 15, 2009.

Residents Intending to Live On Campus for Fall 2009

Eligible residents are able to select rooms in either Cashin Hall, the 12 month Graduate, non-traditionally aged hall, or Prince Hall, a multi-class year hall. Room selection is accomplished using SPIRE and requires an appointment. Appointment times are determined by Priority. To view your room selection Priority go to SPIRE. From the Housing menu, select Room Selection Priority.

Residents intending to live on campus for fall 2009 should attend to these important Online Room Selection details:

• Pay very close attention to timelines
• Sign an electronic copy of the Graduate Residence Hall Contract
• Answer the 5 Housing Profile questions
• Request an Online Room Selection Appointment
• Go online and select a room

There are two Online Room Selection processes:

• In the first process, residents are able to select rooms in either Cashin or in Prince. Appointments must be requested by Wednesday, February 25, 2009 and will be posted on SPIRE on Friday, February 27, 2009. The room selection period is from Monday, March 2 to Sunday, March 8, 2009.

• In the second process, residents are able to select rooms in Cashin only. Appointment requests will be taken from Monday, April 27 to Thursday, April 30, 2009, and will be posted on SPIRE on Friday, May 1, 2009. The room selection period will be from Monday, May 4 to Wednesday, May 13, 2009.

Fall 2009 Assignment Cancellations

Any resident who selects a room in either Cashin or Prince may cancel that assignment without financial penalty through 5pm, Friday, May 29, 2009. After that time residents will be charged a $100 late cancellation fee. To cancel a Cashin or Prince assignment for the fall 2009, please call or visit the Housing Assignment Office, 235 Whitmore Administration Building, (413) 545-2100 Monday to Friday, between the hours of 8:30am and 5:00pm.

Residents Leaving at the End of the Spring Term

Please read and take note of this important information:

1. Term End: The spring term ends on Sunday, May 31, 2009 for all residents except those who have made a June 2009 room reservation.

2. Checking Out: Residents should go to the Cluster Office during office hours to meet with a staff member who will go with you to your room to conduct the inventory and check out process. Cluster Office hours are extended during the term transition week.

3. Residents with LATE or EARLY morning FLIGHTS: All residents without June room reservations are expected to complete the inventory and check out process by 7pm on Sunday, May 31, 2009. Residents who will be departing very late at night or very early in the morning are expected to use the following process:

1. Notify the Cluster Office or an RA of your late night or early morning travel check out plans. Please do this at least 1 day prior to your intended departure date.

2. Arrange a check out appointment with a staff member.

3. Meet with the staff member at the designated time at the Cluster Office. The staff member will accompany you to your room and complete the Room Inventory Form.

4. You will be issued a key envelope.

5. Seal the key in the envelope and leave the envelope on your desk. A missing key will result in a charge for a lock recore.

6. Close and lock the door when you leave.

4. Card Access: Access to the front door of Prince will expire at 7pm on Sunday, May 31, 2009 for all residents except those who have made a June reservation. Before you leave, be sure to return any temporary cards you may have signed out. You will be charged for cards you do not return.

5. June Room Occupancy Audit: Beginning at 9:30am on Monday, June 1, 2009 Housing and Residence Life staff will conduct a routine room occupancy audit. Staff will enter the rooms of spring term residents who did not check out by 7pm on Sunday, May 31, 2009. Those found in residence will be issued charges for rent for the month of June 2009.

6. Mail Service: To ensure that first class mail (first class letters and packages) is forwarded, residents leaving Prince are advised to notify all correspondents of their address change and to change their address on SPIRE. Magazines and second class mail will not be forwarded.
